Initial Report and Triage

A support request is received via the agreed channel. We confirm receipt, ask any clarifying questions needed, and classify the issue by type and severity. Critical incidents — site down, security breach, complete email failure — are escalated immediately to priority handling regardless of when they are reported.

Diagnosis

We access the relevant systems using the credentials and access documented during onboarding, run the appropriate diagnostic tools for the system in question, and identify the root cause of the issue. We communicate our findings before proceeding to resolution, particularly for issues where the fix involves changes to a live environment.

Resolution

We implement the fix with appropriate precautions for the system being worked on. Changes to live WordPress environments are tested where possible before deployment. DNS changes are made with TTL management and propagation monitoring. Platform configuration changes are documented as they are made. We verify that the resolution has achieved the intended outcome before closing the issue.

Post-Resolution Summary

We produce a written summary of the issue, root cause, resolution, and any preventive recommendations. This is delivered to you on closure of the support request and added to the documentation of your environment.

Follow-Up

For issues where the resolution involved changes that need time to propagate or bed in — DNS changes, email deliverability fixes, WordPress plugin resolutions — we follow up within an appropriate window to confirm that the resolution is holding and that no related issues have emerged.

What if a problem turns out to be more complex than initially assessed?

Scope changes are communicated clearly before any additional work begins. Nothing outside the initial assessment proceeds without your agreement.

What if the problem requires access to a system we are not comfortable sharing credentials for?

We are accustomed to working within security constraints and can accommodate arrangements where access is granted on a time-limited or supervised basis. We operate under strict confidentiality and are happy to sign an NDA covering any systems we are given access to as part of a support engagement.

Do you provide support for issues caused by third-party platforms or hosting providers?

We diagnose issues that originate in third-party platforms and hosting environments, identify what needs to change, and either implement the fix directly where we have the access to do so or provide clear, specific guidance for engaging the relevant provider where direct access is not available. Where a third-party provider needs to be contacted to resolve an issue, we prepare the brief for that contact so that the communication is precise and the resolution path is clear.
